  1. PURPOSE. To furnish revised procedures for withdrawing Federal Highway Administration (FHWA) publications, directives, and forms from the Department of Transportation (DOT) Warehouse.

  2. BACKGROUND. In the past, FHWA publications have been requisitioned from the DOT Warehouse using procedures set forth in FHWA Notice N 1360.3, dated March 3, 1982, which expired February 1, 1983.

  3. RESPONSIBILITIES.
    1. The office of Management Systems, Publications and Visual Aids Branch (HMS-24), will continue to perform quarterly onsite inventories of FHWA publications. As the FHWA publications stored at the DOT Warehouse, maintaining an accurate inventory and use rate data for the publications. As the FHWA publications control point, HMS-24 will serve as the contact with the Utilization and Storage Section (M-443.2) concerning publications stock levels.

    2. The Office of Management Systems, Organization and Management Programs Division (HMS-10), is responsible for FHWA directives and forms stored at the DOT Warehouse. As the FHWA directives and forms control point, HMS-10 will serve as the contact with the utilization and Storage Section (M-443.2) concerning directives and forms stock levels and questions.

  4. PROCEDURES.

    1. Procedures for Withdrawal of Publications. FHWA publications may be withdrawn by preparing three copies of Form DOT F 4200.1, Procurement Request (see attachment[SEE PRINTED COPY OF ORDER FOR A COPY OF THIS ATTACHMENT]). All requests must include the name of the requester, routing symbol, building and room number, telephone number, number and/or title of publication,and number of copies requested. A pre-addressed shipping label(s) should also be included.
      • (1) Submit two of the three copies to the Utilization and Storage Section, M-443.2, Room 2314, Nassif Building. Requests will be forwarded to the DOT Warehouse on a daily basis.

      • (2) Submit one of the three copies to the Publications and Visual Aids Branch, HMS-24, Room 4429, Nassif Building. HMS-24 will use this copy to update the quarterly inventory of publications stored at the DOT Warehouse.


  5. Withdrawal of FHWA Directives and/or Forms. FHWA directives and forms may be withdrawn by sending a written request. All requests must include the name of the requester, routing symbol, building and room number, telephone number, classification number of directive or form, and number of copies requested. Send all requests to the Utilization and Storage Section, M-443.2, Room 2314, Nassif Building. Requests will be forwarded to the DOT Warehouse on a daily basis.

  6. INQUIRIES. All inquiries concerning publications stocked in the DOT Warehouse should be directed to the Publications and Visual Aids Branch, HMS-24, Room 4429, Nassif Building, extension 366-9124. All inquiries concerning directives and forms stocked in the DOT Warehouse should be directed to the Organization and Management Programs Division, HMS-10, Room 4428, Nassif Building, extension 366-9087.
