Communication and Coordination Plan

Data Collected

1.1 None. This protocol provides guidance for establishing a communication and coordination plan prior to any field assessment.  


Onsite Equipment and Personnel Requirements

2.1 Equipment: Computer.  
2.2 Personnel: None.  



3.1 Develop a communication and coordination plan to provide contact information for each bridge to be evaluated, prior to any field assessment.  
3.2 The plan should include the following:  
3.2.1 The following contact information for all onsite personnel: Full name. Email address. Office phone (if relevant). Cell phone.  
3.2.2 The following contact information for the State department of transportation, local Federal Highway Administration (FHWA) division office, local and/or State police department, FHWA Long-Term Bridge Performance (LTBP) Program contacts, emergency contacts, and other personnel: Name of department or agency. Name of contact person. Office phone—General. Office phone—Direct line. Cell phone (optional).  
3.2.3 Contact information for the following unexpected scenarios: Medical emergency. Vehicular incident. Inclement weather. Need for a change to the data collection plan. Communication with traveling public. Unexpected media visits.  
3.2.4 The specifics about when the bridge owner, State or local police, the local FHWA office, and FHWA LTBP Program contacts will need to be contacted.  
3.3 Ensure that onsite staff has access to the communication and coordination plan while onsite.

6.1 This protocol provides guidance on establishing a communication plan to be distributed to all onsite personnel.  
6.2 The communication plan provides a comprehensive list of the external parties that need to be contacted prior to and during any field work and visits to the bridge site.
